  • Case Study #1
    • One of Direct Mail Partners' Property & Casualty Insurance clients purchased a new Policy Administration System designed to modernize their existing policy rating, issuance, and administration processes. While the new system has many advantages over their previous system, the policy issuance processes were inefficient in producing print ready output. The system was running on multiple servers and falling behind issuing the printed policy output. Knowing we had extensive data processing and composition capabilities, they asked us for help.

      The project required managing raw data and a forms library incorporating all of the various policy documents for all of the states in which the client is licensed for business. Direct Mail Partners’ staff mapped the raw data to the various forms and integrated the implementation into our Automated Document Electronic Production Technology (ADEPT) system with automated composition, delivery, tracking, reporting, and error notification with PDF files output back to the client for loading into their Policy Administration System. Our ADEPT system completes all of the data processing, composition, and PDF creation in less than hour, enabling our customer to focus on its core business.

      Our customer was surprised with both the speed of the implementation, as well as the speed of our system.   • Case Study #2
    • Direct Mail Partners was awarded a new contract from a Health Insurance Company to transition their policy print from an internal print shop to an outsourced environment to reduce costs through automation and create operational efficiencies. The client printed health insurance policies that contained the various coverage riders, forms, and contract information that were manually segregated and stapled for each document type and married together with plastic ID cards produced out-of-state by a competitor. Each of these individually stapled documents and the associated ID cards were hand inserted into a pocket folder that was further inserted into an envelope for mailing. In total, the client employed twelve associates to review, segregate, staple, insert, and mail the completed policy document.

      Our solution proposed electronically aggregating all of the individual files for each policy into a single print file segregated by stock and sorted in the same order as the ID card files are produced. The resulting policy document is perfect bound with a die cut cover for the address page to minimize the number of matches required to complete each policy. Each individual section of the policy is printed with a tab on the edge of the page with a static location for each specific section and coverage for easy identification. The completed policy book is inserted into a window envelope and mailed at First Class Flat Presort or in Priority Flat Rate envelopes.

      The redesigned policy book has a higher presentation value, lower costs, and improved workflow with better quality control processes than when the customer performed the work internally. Our process involved customized data processing solutions incorporated into our Automated Document Electronic Production Technology (ADEPT) for aggregating the various print files, as well as enhanced tracking and reporting features that enable the customer to load piece-level production statistics into their policy administration system. Kevin M. Burke, CEO, stated, “The automation and enhanced workflows for this client project have resulted in a better product at much lower costs than the customer could produce internally. The customer continues to be impressed by the piece level information we provide in the ADEPT system. They now know more about their print work than they ever did.”
       
  • Case Study #3
    • A company providing assessment and adjusting services to insurance companies approached Direct Mail Partners for help in managing their growing print volumes. They were producing their print output by creating letter templates in Microsoft Word and merging various data files into the appropriate letter templates. While this process worked as a small company with limited output, the growth in their business had made this process cumbersome and slow with the risk of merging the wrong data file with the wrong template.

      Our engagement automated these processes by creating and hosting a forms template library that utilizes a form-call in the data file to merge the data with its corresponding template. Incorporating the project with our Automated Document Electronic Production Technology (ADEPT) enhances the entire solution by providing transactional and summary information for each letter template with email distribution for customer-designated recipients.

  • Case Study #4
    • One of our sales people approached a large print service provider for presort business. In reviewing the prospect’s mail, the salesperson identified a large number of First Class Flats mailed at full rate. The aspect ratio of the mail pieces prevented them from qualifying for USPS presort rates, resulting in higher postage expense.

      Direct Mail Partners recommended redesigning the mail piece and its envelope to achieve substantial postal discounts by preparing the mail as automated First Class Flat Presort. The contents of the mail piece and the envelope were increased slightly to insure the finished mail piece met all USPS automation requirements for First Class Flat Presort. The redesigned mail piece was presented to the USPS Business Mailing Requirements department for review and was approved as meeting these automation requirements.

  • Case Study #5
    • A new customer contract utilized a legacy Line Data print stream that was impractical and expensive for the customer’s MIS department to convert to a current print stream technology. The customer had been searching for a business partner who could convert the print stream, as well as manipulate the data file for formatting changes, document sorting, watermarking, totaling various data elements, and adding variable messaging to the statements.

      Direct Mail Partners created a total solution to handle the data conversion and print composition challenges the customer faced. The legacy Line Data print stream was converted to Postscript, enabling us to more easily manipulate the print file for formatting changes. Data calculations, including totaling data fields, were added to the data processing to enhance the readability and usability of the statements. PDF proofing of the converted data and print ready output file was incorporated into the process, providing the customer peace of mind that the final output matches their data and their intended look and feel.

      For many companies, legacy systems and data types prevent them from implementing new lines of business or enhancing current output. Direct Mail Partners IT staff has broad proficiency converting legacy data streams and manipulating both data and print files. As our Vice President, explains, “We used our years of experience working with various print files to create the exact output the client wanted without engaging their internal IT staff. Our goal is to minimize the use of our clients’ IT resources in producing the exact outcome they desire. Otherwise, the customer may have to wait months or even years for their IT departments to have the resources to attack these projects.”
